The Visalia Police Department Records Unit serves the public & the Police Department in maintaining & distributing all police files. The Records Unit is the public's first link when visiting the Police Department. The Unit receives, processes, maintains & distributes over 20,000 reports per year.
Records Unit personnel are required to attend state mandated training on the proper procedures of maintaining & distributing police reports & information. They must be aware of & apply the legal exemptions to the release of information to protect individual privacy, safety, reputation & on-going investigations. The intent of the exemptions is to protect law enforcement investigations, not to shield information from legitimate scrutiny &, therefore, release information in accordance with the California Government Code & the Public Records Act regulation.
When a report is completed by an officer, it becomes the responsibility of the Records Unit to process the report in the proper manner. This process includes, but is not limited to, the following: typing the dictated narratives to the report and distributing the report to the proper recipients. The report is then entered & maintained by the Records Unit in physical & computer files. If the report includes an arrest of a subject who is in custody, the Records Unit is responsible for processing all all documents related to the arrest & submitting the report to the District Attorney before a daily deadline. This process ensures the arrested suspect will remain in custody.
The Records Unit is also responsible in assisting the public with vehicle releases, accepting various payments such as parking citation and fix-it citation fines, responding to report requests, & answering inquiries or directing the public to the appropriate individual/Division. The Records Unit is also in charge of entering arrest, traffic citation and traffic collision data into its database.
The Duty Officer is available Monday through Friday, 8:00 AM – 4:30 PM (excluding a 12:00 -1:00 p.m. lunch hour) in the lobby of the Visalia Police Department, 303 S. Johnson, or by telephone (559) 713-4257. The Duty Officer takes most reports at the police department and/or over the telephone (not all reports are taken over the telephone).
You may also file a police report on-line. Fill in the appropriate information and submit your report to the Visalia Police Department on-line. It will be routed to the Records Unit the next business day and issued a case number.
