Records Unit

Business Office Hours: Monday – Friday, 8:00 AM – 5:00 PM

Closed Weekends and Holidays

Welcome to Records. The Records Unit is here to serve the public and the department in maintaining and distributing all police files. Records is the public's first link when coming to the police department. We receive, process, maintain and distribute over 20,000 reports per year. Records Department personnel are required to attend state mandated training on the proper procedures of maintaining and distributing police reports and information.

When a report is completed by one of our officers, it then becomes the responsibility of the Records Unit to process this report in the proper manner. This process includes, but is not limited to the following: typing the dictated narratives to the report, then distributing the report to the proper recipients. The report is then entered and maintained by the Records Unit in our physical and computer files.

If the report includes an arrest of a subject who is in custody, the Records Unit is responsible for processing all paperwork related to the arrest and submitting it to the District Attorney before our daily deadline. This process ensures the arrested suspect will remain in custody.

The Records Unit is also responsible in assisting the public with vehicle releases, accepting various payments such as parking citation and fix-it citation fines, responding to report requests, and answering inquiries or directing the public to the appropriate individual/division. The Records Unit is in charge of entering arrest, traffic citation and traffic collision data into our database.

Please feel free to contact the Record Unit at 713-4222.

The Records Unit provides a variety of services to the public. Records personnel must be aware of and apply the legal exemptions to the release of information to protect individual privacy, safety, reputation and on-going investigations. The intent of the exemptions is to protect law enforcement investigations, not to shield information from legitimate scrutiny and therefore released in accordance with the California Government Code and the Public Records Act regulation.

Duty Officer

The Duty Officer is available Monday through Friday, 8:00 AM – 4:30 PM (excluding a 12-1:00 PM lunch hour & holidays) in the lobby of the Visalia Police Department, 303 S. Johnson, or by telephone (559) 713-4257. The Duty Officer takes most reports at the police department and/or over the telephone (not all reports are taken over the telephone).

You may also file a police report on-line. Fill in the appropriate information and submit your report to the Visalia Police Department on-line. It will be routed to the Records Unit the next business day and issued a case number.
